- The Executive Assistant handles travel arrangements and coordinate the appropriate travel plans for staff as necessary. This shall include acquiring visas, drafting agendas and sheets of contacts, compiling information about the country visited, assembling marketing materials, and other planning.
- Oversee external contacts, learn who the priority contacts are and ensure steady communication and relationship building.
- The Executive Assistant understands and anticipates the executive team’s needs, and plan so that the proper people and resources are allocated to support the executive team.
- Inform executives of their schedules, ensuring appointments are kept and making changes when needed.
- Organize meetings; monitor the process of open action items, create agendas, and set time tables.
- The Executive Assistant ensures that the company’s licensing requirements are met and ATF compliant.
- Ensure that information is managed in a confidential, discreet, and professional manner.
- Create reports or presentations on issues, supported by data.
- The Executive Assistant must maintain and update files.
- The Executive Assistant will help with schedules, acquiring materials, moving projects along, and other support as necessary.
- The Executive Assistant must analyze information and present the core meaning in a timely matter. Bring the information to the attention of concerned parties.
- Enter data such as invoices, purchase orders, bills, and other information as necessary.
Executive Assistant (Detroit Area) Job Requirements:
- Work regular business hours, evenings and weekends on occasion.
- Work with basic Microsoft office software.
- A minimum of ten years of job experience working as an administrative assistant at an executive level.
- Have an advanced knowledge of business and critical thinking skills.
- Remarkable organizational skills.
- Exceptional written and verbal communication skills.
- Understanding of and respect for discretion and confidentiality.
- Strong computer skills.
- A minimum of a bachelor’s degree is required for this job.
