We are seeking a highly organized and detail-oriented Administrative Assistant to join our client’s team. This individual will be responsible for handling day-to-day administrative and logistics-related tasks, ensuring that operations run smoothly. The role involves data entry, processing sales orders, coordinating sample shipments, and sending documents to customers, warehouses, and counterparties. The ideal candidate will have strong organizational skills and the ability to manage multiple tasks efficiently.
Core Responsibilities
Sales Order Management
- Enter and process sales orders accurately into company systems.
Shipment Coordination
- Coordinate and track shipments to clients.
Warehouse Management
- Prepare and send release instructions to warehouses.
- Maintain organized records of shipments, orders, and warehouse inventory.
Administrative Tasks
- Handle administrative office tasks, including document management and correspondence.
- Assist internal teams with administrative tasks, such as inventory reconciliations.
Vendor and Client Communication
- Communicate with vendors, customers, and warehouse personnel to ensure smooth order fulfillment as needed.
Inventory Reporting
- Assist in preparing ad-hoc inventory reports and updating databases as needed.
Prerequisites
- Prior experience in administrative support or data entry preferred.
- Strong attention to detail and accuracy in data management.
- Proficiency in Microsoft 365 (Excel, Word, Outlook) or similar tools.
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Ability to multitask and work in a fast-paced environment.
- Work authorization in the U.S.
Certifications (Preferred, Not Required)
- Any administrative or logistics certifications (e.g., Certified Administrative Professional – CAP, or related) are a plus but not required.
