We are seeking an Office Manager to oversee daily office operations and ensure an organized, efficient, and productive work environment. This role is responsible for managing administrative functions, supporting leadership and staff, coordinating office resources, and maintaining effective communication across departments. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment.
Position Responsibilities
Office Administration
- Oversee daily office operations and administrative activities.
- Maintain office procedures, supplies, equipment, and facilities.
- Coordinate schedules, meetings, and office communications.
- Ensure an organized and professional workplace environment.
Team Support
- Provide administrative support to leadership and department teams.
- Assist with onboarding, scheduling, and coordination of office activities.
- Serve as the primary point of contact for general office inquiries.
- Foster a positive and collaborative office culture.
Financial & Administrative Coordination
- Assist with budgeting, expense tracking, invoice processing, and office purchasing.
- Coordinate vendor relationships and service providers.
- Maintain accurate office records, reports, and documentation.
- Support payroll, billing, or accounting functions as needed.
Process Improvement
- Identify opportunities to improve administrative workflows and office efficiency.
- Develop and maintain office policies and standard operating procedures.
- Support the implementation of new office systems and technology.
- Ensure compliance with company policies and administrative standards.
Communication & Coordination
- Coordinate communication between departments and external partners.
- Organize company meetings, events, and employee activities.
- Assist with special projects and executive requests as assigned.
- Maintain confidentiality when handling sensitive information.
Prerequisites
- Bachelor’s degree in Business Administration, Office Management, or a related field, or equivalent professional experience.
- Proven experience in office management, administration, or business operations.
- Strong organizational, communication, and multitasking skills.
- Proficiency with Microsoft Office and standard office management software.
- Ability to manage multiple priorities with attention to detail.
- Strong problem-solving skills and a customer-service mindset.
Certifications (Preferred, but not Required)
- Certified Administrative Professional (CAP)
- Project Management Professional (PMP)
- Microsoft Office Specialist (MOS)
- Human Resources Certification (PHR or SHRM-CP)
- Bookkeeping or Accounting Certification
